Managing Tournaments

Handle registrations, check-ins, and teams before the tournament starts.

Registration Management

Opening Registration

After creating a tournament, registration is closed by default. Open it when you're ready to accept participants:

  1. Go to your tournament details page
  2. Click "Open Registration"
  3. Players can now register for the tournament

Closing Registration

Close registration when:

  • You have enough participants
  • The tournament is about to start
  • You need to finalize the bracket

Independent Controls

Registration and check-in are controlled separately. You can close registration while keeping check-in open, allowing registered players to confirm attendance without accepting new registrations.

Check-In Management

Opening Check-In

Check-in allows registered players to confirm they're present and ready to play:

  1. Go to your tournament details page
  2. Click "Open Check-In"
  3. Registered players can now check in

Check-In Status

On the entries list, you can see which participants have checked in:

  • ✅ Checked in - Ready to play
  • ⏳ Pending - Registered but not checked in

Manual Check-In

As a tournament director, you can manually check in participants:

  1. Find the entry in the participants list
  2. Click to check them in

Before Starting

Only checked-in participants will be included in the tournament. Make sure everyone who's playing has checked in before you start!

Team Formation & Invitations

Doubles and Team tournaments use an invitation system, allowing players to invite partners who haven't registered yet.

How Team Registration Works

Step 1: Register and Form Team

  1. Player clicks "Register" on tournament page
  2. Registration modal opens with:
    • Team Name input (optional for doubles, required for 4-player teams)
    • Searchable list of ALL users in the system

Step 2: Select Partners

  • Type to search for players by name
  • Click to select partners:
    • Doubles: Select 1 partner
    • Team (4-player): Select 3 teammates
  • Selected players show a checkmark

Step 3: Complete Registration

  • Click "Register Team"
  • System creates entry as team captain
  • Sends invitations to selected partners

Step 4: Monitor Invitation Status

  • A "Team Invitations Status" section appears on tournament page
  • Shows each invited teammate with "Pending Response" status
  • Updates automatically when teammates respond

For Invited Players

When a player is invited to a team:

  1. Visit the tournament page
  2. See a prominent blue notification: "You've Been Invited!"
  3. Details show:
    • Who invited them
    • Team name (if provided)
    • Tournament information
  4. Actions available:
    • ✓ Accept: Joins the team immediately, entry becomes "Registered"
    • ✗ Reject: Declines invitation, allowing them to register independently or with another team

Team Captain Responsibilities

Do:

  • Coordinate with your teammates before inviting them
  • Provide a team name (especially for 4-player teams)
  • Monitor invitation status on the tournament page
  • Ensure all teammates accept before check-in deadline

Important Notes

You can invite anyone in the system (they don't need to be registered first). Invited players will see the invitation when they visit the tournament page. If a teammate rejects, you'll need to invite someone else.

Participant List Display

For doubles and team tournaments:

  • Only team captains appear in the list (to avoid duplicates)
  • Team captains have a (Captain) badge
  • Team names displayed if provided
  • If no team name: Shows "Player1 & Player2" format

Random Doubles

In Random Doubles format, the system automatically pairs players when the tournament starts. No team formation required - players just register individually.

Viewing Entries

The entries list shows:

  • Participant name(s)
  • Team name (for doubles/team)
  • Registration time
  • Check-in status
  • Team completion status (for doubles/team)

Removing Entries

You can remove entries before the tournament starts if needed:

  1. Find the entry in the list
  2. Click the remove/delete option
  3. Confirm the removal

Communication

If you need to remove someone, consider letting them know why. Good communication keeps your community happy!

Pre-Tournament Checklist

Before clicking "Start Tournament," verify:

  • ✅ All expected participants are registered
  • ✅ All participants are checked in
  • ✅ All teams are complete (doubles/team formats)
  • ✅ Number of courts is set correctly
  • ✅ Game rules are configured properly
